Getting Your Wedding Guests to Rovaniemi: Flights, Transfers and Rooms for a Lapland Wedding

A wedding in Lapland is a trip for every guest, and the trip is where many plans go wrong. We run Rovaniemi Weddings, our own company, and we plan the logistics as carefully as the flowers. Here is how to get 10, 20 or 50 people to Rovaniemi, house them and move them between venues without anyone being cold, late or lost.

Short answer

For a Lapland wedding, guests usually fly to Rovaniemi (airport about ten minutes from town) via Helsinki, which has direct flights year-round, with seasonal direct flights from London, Paris and other major cities. Budget broad guide ranges of €150–€500 return per person from European cities, guesthouses at €80–€150 a night and glass igloos or resort suites at €300–€800. Book flights and rooms early, tell guests to pack for the cold, and let a planner coordinate transfers between the airport, accommodation and venue. Why Guest Logistics Is the Hidden Half of a Lapland Wedding

When couples tell us about their Lapland wedding, they talk about the chapel, the lights and the dress. Guests talk about the flight, the cold and the bus. Rovaniemi Weddings is our own company, and we have learned that the happiest weddings are the ones where the guest experience was planned as carefully as the ceremony. It starts with one fact: people are travelling to the Arctic Circle in winter, and few of them have done it before.

The couple’s job is to decide the dates and the venue. Ours is to turn that into a clear plan for each guest: where to land, where to sleep, how they reach the ceremony, what to wear and when to go home. The more of this you decide early, the calmer the weeks before the wedding.

One habit helps more than any other: write the guest information once, in plain language, in one place. A single page with the flight advice, the accommodation options, the wedding-day timetable, the packing list and a contact for questions saves you from answering the same message thirty times. We build that page with couples as part of planning, and we keep it in English so that every guest can follow it.

Getting There: Flights and Airports

Rovaniemi Airport is about ten minutes from the city centre. Helsinki has direct flights to Rovaniemi year-round, and there are seasonal direct flights from London, Paris and other major cities. Our cost notes give a broad guide of €150–€500 return per person from European cities; prices depend on the season and how early guests book, so tell them as soon as the date is set.

Practical points for the invitation: send guests the flight information early; ask them to arrive at least a day before the wedding to absorb delays; and warn long-haul guests that connections via Helsinki can be tight in winter. If people are arriving from different countries, we help to group them onto common arrival times so that transfers can be shared. We write more about travel from specific countries in our guide for couples travelling from the UK, Germany and Asia.

Where Guests Sleep

Accommodation is the most important decision after the venue, because it decides the rest of the logistics. As a broad guide, guesthouses cost €80–€150 per night and glass igloos and resort suites €300–€800 per night. We never quote a specific hotel’s prices, because they change; ask each property directly.

  • Everyone at one venue. Silver Birch Resort is about 20 km from Rovaniemi and 30 minutes from the airport, with a restaurant for up to 36 guests; in winter there is a minimum stay of two nights. Arctic SnowHotel & Glass Igloos offers glass igloos and snow-hotel suites about 30 minutes from town.
  • A villa for the closest people. Arcticmint Villa sleeps 8 and holds a wedding of around 15; it is about 20 minutes from the city centre and 15 minutes from the airport and Santa Claus Village.
  • A mix. Close family at the venue, others in town in guesthouses or hotels, with a shared transfer to the ceremony.

Transfers on the Wedding Day

Venues near Rovaniemi are 10–30 minutes from town, which is short but not walkable in winter. We plan transfers like a timetable:

We handle supplier sourcing and booking, including transport, so you do not have to chase each driver. See Lapland Wedding Planner for what planning covers.

A Multi-Day Programme That Rewards the Trip

A guest who has flown for a day is not coming for a 30-minute ceremony. A multi-day plan makes the journey worthwhile and spreads the cost of travel over more memories. A simple version:

  1. Day 1: arrivals and a relaxed welcome dinner.
  2. Day 2: an optional activity such as a husky or reindeer experience; see {L_HUSKY}.
  3. Day 3: the wedding.
  4. Day 4: a slow breakfast and departures.

For a larger group, see Destination Wedding in Lapland. Weddings of any size are possible, from two to 200+ guests.

Think about the “between” time too. Guests who arrive a day early with nothing planned either stay in their rooms or wander into expensive tours. A simple optional activity, a shared dinner and a clear message about what is included keep the group together. If you are building the whole trip around the wedding, our guide to combining a Rovaniemi holiday with a proposal or wedding has ideas for fitting a holiday and a wedding together.

What Guests Should Pack

The most useful thing you can send guests is a short, honest packing list. Layers, warm boots with a good sole, a hat, gloves and a scarf; thermal underwear under formal clothes; a warm coat that fits over a suit or dress. Our detailed list is in what to wear in Lapland in winter. For a winter wedding, tell guests that the ceremony itself is brief, with warm spaces nearby, and that blankets and warm drinks are provided.

Plan for the people who need extra care. Older guests should be told about icy surfaces and given the best transfer spot; guests with mobility issues need a conversation with the venue before the invitation goes out; and if children are coming, check the venue rules, because some properties set age limits in winter. For example, Invisible Forest Lodge only admits guests aged 14 and over from 1 November to 15 March. Our post on getting married with your children covers this in more detail.

Time Planning: When to Tell Guests

Most couples plan over 6–12 months, and for the winter aurora season book the venue and key vendors at least six months ahead. For guests, we suggest: save-the-date as soon as the venue is confirmed; flights and accommodation guidance at 9–12 months for peak winter; final travel details at 3 months; and a packing and schedule note a few weeks before. Ask guests to confirm their arrival times with you, not with each other, so that one spreadsheet holds the truth. When flights are delayed, which can happen in winter, a single contact number that everyone has means a driver can be rebooked instead of waiting at an empty arrivals hall. The destination page suggests booking 8–12 months ahead for winter and 6–9 months for summer.

Budget Honestly

Add guest travel to your thinking, even when guests pay for themselves, because the cost shapes who can come. Broad ranges: a sit-down dinner is €50–€150 per person for 20–50 guests; a hotel or resort event space €2,000–€8,000. We suggest a contingency of around 10%. Remember that guests’ own costs are separate from yours: if you want a particular person to come, you may decide to help with a room, and it is better to decide that early than to discover in the last month that someone cannot afford the trip. Honest conversations in the first weeks save awkward ones later. For a breakdown, see our wedding cost guide.

How to Plan It With Us, Step by Step

Guest logistics is part of full planning, and this is how the work runs.

  1. Weeks before: tell us the story. How you met, what matters to them, how you want the moment to feel. We suggest the option that fits, or shape a custom one — start at Proposals in Lapland or write to us through Contact Rovaniemi Weddings.
  2. Within a few days: option and quote. One clear quote with nothing hidden, your date held, and the exact place and timing fine-tuned together.
  3. The days before: quiet preparation. Flowers, candles, photographer, transport, sparkling wine and the weather plan are all confirmed.
  4. The hour: the moment. We set up while you are on your way and step out of sight; you walk them in, the yes happens, we capture it and quietly pack down.

We reply within one business day, and all our services are conducted in English.
