On-the-Day Wedding Coordination in Lapland: For Couples Who Already Have a Plan

You have booked the venue, the photographer and the dress, and you do not want to spend your own wedding day answering the caterer’s phone calls. We offer on-the-day coordination and styling through our own company, Rovaniemi Weddings, and this guide explains what that covers, how it fits a trip to Rovaniemi and what to hand over.

Short answer

Yes, you can book only the day. Through our own company, Rovaniemi Weddings, you can hand us the timeline, the suppliers and the logistics on the day itself, and keep the rest of your plan. Our Event Planning, Coordination & Styling page covers sourcing, timeline and budget, styling and on-the-day coordination, and you can book the full service or just the part you need. In Lapland this matters more than at home: winter light, cold, transport and a short ceremony window mean someone needs to run the clock. Start with Lapland Wedding Planner to see what we do across the whole process, and Weddings for the overview.

What Coordination-Only Actually Means

Some couples arrive with everything organised: the venue is booked, the photographer is confirmed, the officiant is waiting and a spreadsheet is up to date. What they do not have is a person in Lapland whose only job on the day is to make it all happen on time. That is coordination-only.

First, full disclosure: Rovaniemi Weddings is our own company, run by Joona and Alla from Rovaniemi. Alla founded it after planning her own wedding in 2024, and she remembers exactly how much of a wedding day vanishes into small decisions. We offer full wedding and event planning of any size, on-the-day coordination (timeline, suppliers, logistics) and styling, and you can book them as a full service or only the part you need. This is not a neutral comparison; it is how we would explain the option to a friend.

The idea is simple. You did the planning. We take the day.

Why Lapland Needs a Day-Of Coordinator

A coordinator is useful anywhere. In Lapland, a few conditions make it close to essential if you are travelling here:

  • The light is short. In December and January the best daylight is a few hours around midday, so the ceremony and photos have to run to the clock.
  • The cold sets the rhythm. Winter ceremonies outdoors are kept to 15 to 20 minutes, with blankets and hot drinks beside you, so every other moment needs to be sequenced around warm-ups.
  • Suppliers are spread out. The venue, the photographer, the florals and transport may all be coming from different directions, and a missed handover costs daylight.
  • You are a visitor. You do not know who to call when the cake is late, and you should not have to find out on your wedding day.

A local coordinator knows which venues are reachable in deep winter, and has stood on that ice before. For anything weather-related, our guide to Lapland in the Christmas season is a useful companion.

What We Take Over on the Day

From our service list, this is what on-the-day coordination means in practice:

AreaWhat we do
TimelineBuild and run the day, minute by minute, with every supplier working from the same sheet
SuppliersConfirm arrival, brief and handle questions with the venue, caterer, photographer, florist, music and transport
LogisticsGuest movements, transfers, weather backup plans and hand-overs
Set-upInstall the details on the day and pack down at the end
Small thingsSolve the problems nobody told you about, quietly

If you book styling with us as well, we can deliver and install it. Our styling covers arrival and ceremony styling (welcome signage, aisle, arch, florals, candles), reception styling (tablescapes, linens, candles, signage, dance floor) and lighting, lounge zones, bar styling and photo corners. We work with high-quality artificial flowers and curated décor that stay perfect in every season, which is a practical choice when fresh petals can freeze in minutes.

Bringing Your Own Plan: How It Works

The page describes four steps, and they fit this kind of booking neatly:

  1. Discovery call. You tell us your date, venue, guest count and what is already booked.
  2. Plan and proposal. We send a priced and scheduled proposal for the part you want us to take.
  3. Sourcing and design. Only if you want styling or help with a gap, such as a missing supplier.
  4. Install and coordinate. Set-up, day-of coordination and pack-down.

You request a proposal with your date, venue and guest count. The proposal is made to measure; we do not work from fixed templates, and we do not quote prices here because the scope varies by venue, guest count and season. Package pricing is custom after a conversation, with no hidden fees.

It helps to send us what you already have: the supplier list, the venue’s timings and any plan you have made. A couple of weeks before the wedding we usually go through the whole thing together, so there are no surprises. See Lapland Wedding Packages for the wider range of what we offer.

Timing: When to Book Coordination

Coordination-only is easier to add late than full planning, but that does not mean leaving it to the last minute. A sensible rule is to speak to us as soon as you have a venue and a date, particularly for December to February, which is the busiest period. For full planning, we recommend 8 to 12 months ahead for winter and 6 to 9 for summer; coordination-only can be shorter, and we will say honestly whether your date is still open.

What you will need to have settled before we take over: who the officiant is, what the legal route is (see Getting Married in Finland) and the final guest numbers. Everything else we can help close.

If you are planning a Christmas, New Year or Valentine’s wedding right now, ask soon: those are the dates people are booking this month, and see our Christmas Wedding in Lapland page for what that looks like.

Fitting the Wedding Into Your Rovaniemi Trip

Most couples who ask us for coordination-only are travelling, and the trip is half the point. A rhythm that works:

  • Arrive two or three days before. Rovaniemi’s airport is ten minutes from town. Rest, adapt to the light, and meet us on site or by video for the final walk-through.
  • Keep the wedding day free. No excursions. The more you hand over, the more of it you actually enjoy.
  • Leave a reserve day. If the weather shifts, the plan has a day to move into.
  • Do the husky or reindeer experiences after. Tired, happy and with nothing left to organise.

On clothes, winter is below −20 °C at times, so thermal layers under the dress or suit, insulated boots, and a wool cape or faux fur for the photos. The big coat from our Lapland winter packing guide goes on between ceremony and photos. Stay on afterwards for a Honeymoon in Lapland; we can coordinate the handover from wedding to honeymoon.

What Your Day Looks Like With a Coordinator

A winter wedding day near Rovaniemi often runs like this, and this is the clock we would build with your suppliers:

  1. Morning. A late breakfast, hair and make-up, perhaps a private sauna. We are already at the venue, setting up the arch, candles and signage before you arrive.
  2. Late morning to early afternoon. The ceremony, timed for the best light, which in December and January is the blue polar twilight between roughly 10:00 and 14:00. Fifteen to twenty minutes outdoors, then blankets and a hot drink.
  3. Afternoon. Photographs in short bursts between warm-ups. We keep an eye on the clock and on the cold, so the photographer gets the light and you stay comfortable.
  4. Dusk. A toast, a fire on the shore or an ice-glass moment, if you have planned one.
  5. Evening. Dinner, speeches, music, the lounge and bar. We make sure the caterer, the DJ or band and the venue staff all know the same running order.
  6. Late. Pack-down and return of everything, so you walk away with nothing left to carry.

In summer the whole day shifts later, with a ceremony in the evening under the midnight sun and photos when the light is lowest around 22:00. Whatever the season, you read the running order once, with us, and then you stop thinking about it.

Who This Is For, and Who It Is Not

Coordination-only suits you if your venue, photographer and caterer are booked, you want styling or a few details done well, or you are organising from abroad and have friends or family on site but no one with local knowledge. It also works for couples who started planning themselves and want a safety net for the last few weeks.

It does not suit you if nothing is booked yet and you need venue sourcing, a budget or supplier choices; that is full planning, which we also offer. We can supply venues, caterers, photographers, officiants, transport and accommodation if you want, and our Lapland Wedding Planner page shows what that covers. If you are not sure which side of the line you are on, tell us what you have and we will say honestly which route is worth it.

FAQ

Can I hire Rovaniemi Weddings for on-the-day coordination only?

Yes. We offer wedding and event planning, on-the-day coordination (timeline, suppliers, logistics), styling and design, and you can book them as a full service or only the part you need. Request a proposal with your date, venue and guest count.

What does it cost?

It depends on the scope, the guest count, the venue and the season, so we quote after a conversation rather than from a fixed list. Every proposal is priced and scheduled, with no hidden fees. For wider context, a full styling package typically falls between €1,500 and €5,000.

Do you work only in Rovaniemi?

No. We are based in Rovaniemi and work across Lapland, Finland, Sweden and Norway, including places such as Levi, Ylläs, Saariselkä, Kiruna, Abisko, Tromsø and the Lofoten islands.

Can you set up the styling as well as coordinate the day?

Yes. Styling and design includes arches, backdrops, tablescapes, lighting and florals, delivered, installed and removed by our team. You can book it with coordination or on its own.

How far ahead should we book coordination for a winter wedding?

As soon as you have a venue and a date, especially for December to February, which is the busiest period. Coordination can be shorter than full planning, and we will tell you honestly whether your date is open.

What if the weather is bad on the day?

Every outdoor plan has a backup agreed in advance: an indoor space, a canopy or a sheltered alternative. In winter there is no rain, and clear umbrellas help in other seasons. Outdoor winter ceremonies are kept short with blankets and hot drinks ready.

Our Honest Final Word

Plainly: Rovaniemi Weddings is our own company, and we would like to run your day. But the advice is the same even if you hire someone else: do not spend your own wedding in Lapland as the project manager. The cold, the short light and the distance between suppliers mean the day needs a person whose job is only the clock.
