What Actually Happens During a Planned Proposal in Lapland: The Hour, the Days Before and Everything We Do Quietly

You book a proposal, and then what? We are Joona & Alla, and we run Rovaniemi Weddings, our own company. This is the honest, step-by-step account of what happens from the first message to the last photograph, including the hour itself and what you will be asked to do.

Short answer

A planned proposal with us has four stages. Weeks before, you tell us your story. Within a few days, we send an option and a clear quote and hold your date. In the days before, we confirm flowers, candles, photographer, transport and the weather plan. On the day, we set up while you are on your way, step out of sight, you walk your partner in, the yes happens, we capture it, and we pack down quietly. Our own company, Rovaniemi Weddings, handles every part; we communicate only with you, never your partner. The moment itself usually takes under an hour, and the photographs follow. Start with Proposals in Lapland, or look at On the Frozen Lake (from €1,400) for a winter example.

Stage One: Telling Us the Story

It starts with a message through Contact Rovaniemi Weddings. We ask the questions a friend would ask: how you met, what they love, how they feel about attention, what they would hate, what time of year you are travelling, and how long you will be in Rovaniemi. We also want to know about practical things: whether they like being photographed, whether they are comfortable outdoors in the cold, whether other people (parents, children) should be involved.

Based on this we suggest the option that fits, or shape a custom one. This is where honesty helps. If your partner dislikes the cold, we will not send you to a frozen lake. If you have only one evening, we will say which setting is realistic. We reply within one business day.

Nothing you tell us goes anywhere else. Everything you share stays between us, and we would rather hear the awkward details now than discover them on the day: a partner who is allergic to roses, a fear of frozen lakes, a surprise that someone else already suspects.

Stage Two: Option, Quote and Date Held

Within a few days you receive a clear quote with nothing hidden. It states what is included and what is optional. Our signature proposals run from €650 to €2,700, and every price includes planning, coordination, set-up and removal; nearly all include a professional photographer who captures the moment and takes couple photos right after the yes. Transport is included where the option says so, and otherwise priced by distance from Rovaniemi.

We hold your date while you decide. We then fine-tune the exact location and the timing together, because the best time depends on the light, the temperature and your plan for the day. If you want to compare options first, our price guide for every proposal lists them all side by side.

Stage Three: The Quiet Preparation

This is the part you never see, and it is where most of the work happens. In the days before your date we confirm:

  • The flowers. A bouquet of 30 roses in nearly every option, made by hand in our Rovaniemi studio from high-quality artificial and preserved flowers that stay perfect in Arctic cold.
  • The candles, lanterns and décor for your setting, and how we carry and place them.
  • The photographer or guide, their arrival time and where they will stand.
  • Transport, where it is included, with exact pick-up times.
  • The sparkling wine and warm drinks.
  • The weather plan. In winter, falling snow only makes the moment more romantic, and we bring clear umbrellas if needed. If conditions are really difficult we agree a sheltered alternative in advance.

We communicate only with you, on the channel you choose. We never contact your partner, your friends or the venue unless you ask us to.

Stage Four: The Hour Itself

Here is how a typical hour runs, using a private setting as the example. Times are indicative, and each option has its own rhythm.

The setting varies by option: the ice and the lake, the laavu and fire, the dome and the forest, or the trail with the campfire snack, but the structure stays the same. You never carry anything, and you never manage the schedule.

What You Are Asked to Do

Our list for the proposer is short.

  • Give your partner a reason to be there. We help you choose one.
  • Keep the ring safe and warm. An inner pocket, not a glove.
  • Dress for the cold and for the camera. Our what-to-wear guide covers both.
  • Arrive on time. The set-up is timed to the minute, and the light waits for nobody.
  • Tell us if anything changes, such as a delayed flight or a sick child, as soon as you know.

You do not need to rehearse a speech. People often worry about the words, and we usually say the same thing: say what is true, in your own language, and keep it short. The setting does the rest. If you are the kind of person who freezes in front of a camera, tell us, and we will keep the photographer further back and the first minutes quiet.

One more thing we ask is that you decide, before you arrive, what you will do if they say “wait, what?” or burst out laughing. It happens. A smile and a breath are all you need.

What Happens If Something Goes Wrong

Lapland is not a theatre set, and sometimes the plan changes. The most common reasons are weather, a delayed flight, a partner who is tired or ill, or an unexpected change in the day. What we do depends on the option, and we agree the principle in advance:

  • Weather. We adjust the timing or move to a sheltered alternative.
  • Northern lights that do not appear. The plan is built to work without them. See our cloud plan for aurora proposals.
  • Delays. We keep the setting, the photographer and the schedule flexible where we can, and we tell you early what is realistic.
  • Nerves. We stay out of sight and out of the conversation, and the moment is yours.

Matching the Setting to Your Partner

The stages are the same for every option, but the setting changes how the hour feels, so here is how we usually think about the match.

If none of these fits, we design a custom proposal around your story and budget. Tell us who they are, and we will tell you honestly which of these we would choose for a friend.

After the Yes: Photographs and What Comes Next

The photographer takes couple photographs right after the proposal, while you are both still glowing. In the engagement photoshoot guide we describe how to continue the session if you want more. The Surprise Proposal Photoshoot option, from €1,050, goes furthest: two hours of photography, a first batch of images within 24 hours and a full gallery weeks later.

Many couples then plan a celebration dinner. We can suggest places, and we can also help plan the wedding itself. If you want the wedding in Lapland, we handle Weddings and the legal side is described in our guide to getting married in Finland.

How to Start

Rovaniemi Weddings is our own company, and the process above is exactly how we work, with no hidden steps. To start, write to us through Contact Rovaniemi Weddings with your dates, where you are staying and a few lines about your partner. We reply within one business day with options. If you want to look first, browse the ten Proposals in Lapland, or choose a winter favourite such as A Promise in the Ice Chapel.

FAQ

How long does a proposal take?

The proposal moment itself is short, usually under an hour including photographs and a toast, though each option has its own rhythm.

Do we have to be there for the set-up?

No. We set up while you are on your way, step out of sight and pack down afterwards, so you never carry or arrange anything.

Will our partner find out in advance?

Not from us. We communicate only with you, on the channel you choose, and never contact your partner, friends or the venue unless you ask.

What if the weather turns?

In winter there is no rain in Lapland, and falling snow only adds to the moment. We bring clear umbrellas if needed and can agree a sheltered alternative in advance.

Is a photographer included?

In nearly every proposal, yes: a professional photographer captures the moment and takes couple photographs right after the yes. It can be added to any other option.

How far ahead should we write to you?

The earlier the better, since your date is more likely to be free. We also accept last-minute requests when the date is available.

Our Honest Final Word

The idea of a planned proposal can feel like handing over something personal to strangers. We understand that, and it is why we explain every stage: what we do, what you do and what happens if plans change. You keep the question, the words and the ring. We take care of the candles, the logistics, the cold and the camera.

It is our own business, and we would like you to book with us, but only if the plan fits you. Write to us through Contact Rovaniemi Weddings, and look at On the Frozen Lake, The Fireside Proposal or Yes Under the Aurora to see where the moment might happen.
