Destination Wedding in Lapland with 50+ Guests: How to Build a Multi-Day Programme

A wedding with fifty, one hundred or two hundred guests in the Arctic is a long weekend, not a single afternoon. We plan these through our own company, Rovaniemi Weddings, and this is how we would shape the days, the venue, the budget and the guest logistics around a trip to Rovaniemi.

Short answer

A destination wedding in Lapland with 50 or more guests works best as a multi-day programme: a welcome evening, the ceremony day, and a relaxed farewell brunch, with activities for guests in between. Plan 8–12 months ahead for December to February and 6–9 months for summer. A beautifully styled event of 20–50 guests typically costs €10,000–€20,000, and larger celebrations run to €30,000 or more. Our own company, Rovaniemi Weddings, plans weddings from 2 to 200+ guests, and our Destination Wedding in Lapland page explains how we handle everything remotely. Start with Lapland Wedding Cost for the numbers and Lapland Wedding Venues for where fifty or more guests actually fit.

Why a Big Lapland Wedding Becomes a Long Weekend

Nobody flies 50 guests to the Arctic for a three-hour reception. The journey is part of the gift: guests arrive from different countries, many of them seeing snow or the midnight sun for the first time, and they want to feel the place, not only the party. So the wedding stretches over two to four days, and the ceremony is one highlight among several.

Full disclosure: Rovaniemi Weddings is our own company, run by Joona and Alla from Rovaniemi. Alla started it after planning her own wedding in 2024, and we now plan weddings of any size, from two guests to more than 200, across Lapland, Finland, Sweden and Norway. This is not a neutral survey; it is what we would tell a friend who asked how to do this properly.

The good news is that Lapland is well set up for it. Daily flights run from Helsinki to Rovaniemi in just over an hour, the airport is ten minutes from town, and the region has glass igloos, wilderness lodges, resorts and an Ice Chapel, all used to hosting groups.

Pick the Season First

Season decides the mood, the programme and the guest packing list, so choose it before the venue.

  • Winter, November to March: the most popular season, usually between −10 and −20 °C. Snow, candles, the Ice Chapel (open from mid-December to the end of March) and a chance of the aurora. December to February is peak demand.
  • Autumn, September to October: autumn colours (ruska) in September, milder weather and the northern lights possible from late August to April.
  • Summer, June to August: 24-hour daylight, lakeside ceremonies, hiking, river rafting, berry picking and sauna.
  • Spring, April to May: snow under long days; quieter, and often more competitively priced.

We also keep this in mind: with large groups, the more extreme the cold, the shorter the outdoor time. A winter ceremony outdoors stays at 15 to 20 minutes with blankets and hot drinks ready, which is far kinder to fifty guests in good boots than to fifty in dress shoes. Our Lapland Christmas season guide shows how busy December gets, which matters if you are tempted by a holiday-week date.

A Sample Three-Day Programme

This is the shape we suggest most often. It is a template, not a template wedding; every celebration we plan is made to measure.

DayMorningAfternoonEvening
Day 1: ArrivalGuests land; transfers from the airportRest, check in, optional saunaWelcome dinner, ideally somewhere small and warm, such as a wilderness cabin
Day 2: The weddingRelaxed late breakfast; the couple get readyCeremony (short outdoors in winter), photographs, toastReception dinner, speeches, dancing, lounge and bar styling
Day 3: FarewellFarewell brunchGuests choose an activity or head homeOptional private dinner for close family

Many couples add a welcome dinner or farewell brunch at a wilderness cabin, and we agree; it gives the wedding day room to breathe. Add a spare day if you can, so guests can recover from travel and so a weather shift on day two does not break anything.

Guest activities fit into the gaps: husky safaris, reindeer sleighs, snowmobiles, ice fishing and northern lights tours in winter; hikes, river rafting, berry picking and sauna in summer. We would keep these optional and booked by guests themselves, so nobody feels marched around, and we can point your group towards the right operators.

Venues That Can Host a Larger Group

Capacity is where Lapland differs from a hotel ballroom in Europe: the most atmospheric venues are intimate. Here is what our kit says about each, honestly:

Kurula's Resort17 premium suites, guests stay on sitePyhä, with the fell behind the lake

The honest conclusion: for 50 or more, a single venue is rarely enough. Typically the ceremony is in one place, the reception in another, and guests sleep across several properties. That is exactly the logistics we manage; see all six on our Wedding & Proposal Venues in Lapland page.

What a Wedding for 50+ Guests Costs

Numbers from our own cost guide, which we keep deliberately conservative. A Lapland wedding ranges from around €5,000 for an intimate elopement to €30,000 or more for a larger celebration. The middle of the range is €10,000–€20,000 for a beautifully styled event of 20–50 guests, so a group above that moves up with each extra table.

  • Venue: a hotel or resort event space typically €2,000–€8,000; at Silver Birch Resort, hire until midnight starts at €799 (plus staff service from €219 and cleaning from €119).
  • Styling: a full styling package €1,500–€5,000.
  • Catering: a sit-down dinner for 20 to 50 guests is typically €50–€150 per person; at Silver Birch a four-course dinner is €60 a head and a buffet from €43.
  • Photography: €1,500–€4,000 for full-day coverage; videography adds €1,500–€3,500.
  • Legal: around €60 for the examination of impediments.

Keep a contingency of around 10%. Package pricing varies by scope, guest count, venue and season, and every quote we send is a detailed breakdown with no hidden fees. The full picture is on Lapland Wedding Cost.

Planning It From Abroad

Most of our destination couples never meet us before they land. That works, because the process is built for it: virtual consultations, mood boards and planning documents, and a team that coordinates photographers, celebrants, caterers, transport and accommodation partners on your behalf. Communication is in English, and the destination wedding page also lists Finnish and Russian.

For the legal side, you submit a certificate of no impediment to the Finnish Digital and Population Data Services Agency. It takes a few weeks and can be managed from abroad. Civil and religious ceremonies are both recognised. Many couples sign at home and hold a symbolic ceremony in Lapland, which removes the paperwork from the guest-list conversation entirely; see Getting Married in Finland.

Timing: book 8 to 12 months ahead for December to February, and 6 to 9 months is usually enough for summer. Our Lapland Wedding Planner page suggests starting 12 to 18 months ahead when you want the very best choice of venues.

Looking After the Guests

With 50 or more people, the small things are the wedding. A few that we handle before anyone lands:

  1. Arrival. Fly into Rovaniemi directly or via Helsinki; the airport is ten minutes from town, so transfers are short. Group arrival times are worth coordinating.
  2. A clothes message. In winter, guests need real boots, thermal layers and hats, not just a coat. Send the packing advice early; our Lapland winter packing guide is a good one to forward.
  3. Heated space. Every outdoor moment has a warm space beside it. Winter has no rain, and clear umbrellas are our answer to the rare wet day in other months.
  4. Where people sleep. Spread across properties by budget, with the couple’s closest circle at the main venue.
  5. Children and elders. Check each venue’s age rules (Invisible Forest Lodge takes guests 14 and over only from 1 November to 15 March) and pace the day accordingly.

None of this is glamorous, and it is what makes a guest say it was the best trip of their year.

How to Plan It With Us

The process is the same at 50 guests or 200:

A small kota at the Arctic SnowHotel, a warm place for a welcome dinner.

  1. Tell us about your day. Write via the Contact Rovaniemi Weddings page with your date, guest count and ideas.
  2. Consultation and estimate. A meeting in person or online, with a price estimate during the call or shortly after.
  3. Agreement and deposit. A simple agreement and deposit secure your date.
  4. Planning together. Suppliers are sourced and booked, options presented; you choose, we handle every booking and email.
  5. Your wedding days. We install every detail, run the timeline and quietly solve the small things.

Beyond coordination, our full event styling covers arrival and ceremony styling, reception tablescapes and lighting, lounge zones and photo corners. See how it compares in Lapland Wedding Packages, and the wedding hub at Weddings. We reply within one business day.

FAQ

How many guests can a Lapland destination wedding have?

We plan weddings from 2 to more than 200 guests. The most atmospheric venues are intimate, though: the Ice Chapel seats about 30 to 50, Silver Birch Resort’s restaurant up to 36, and Aurora Hill Resort’s restaurant up to 60. Larger weddings usually combine two or three venues across the programme.

How much does a destination wedding in Lapland cost for 50+ guests?

A styled event for 20 to 50 guests typically costs €10,000–€20,000, and larger celebrations run from there to €30,000 or more. Venue, catering per head, styling, photography and guest count drive most of it. Every quote is a full breakdown, with a contingency of around 10% we recommend keeping.

When should we book?

Eight to twelve months ahead for December to February, which is the peak. Six to nine months is usually enough for summer. If you want maximum choice of venues, starting 12 to 18 months ahead is even better.

Can we plan the wedding from abroad?

Yes. We handle creative and logistical details remotely, with virtual consultations, mood boards and planning documents, and coordinate photographers, celebrants, caterers and accommodation on site. Legal paperwork can be managed from abroad too.

Is a legal ceremony possible for foreign guests and couples?

Yes. A certificate of no impediment is submitted to the Digital and Population Data Services Agency, the process takes a few weeks, and both civil and religious ceremonies are recognised. Many couples complete the legal part at home and hold a symbolic ceremony in Lapland.

What do the guests do while the couple are busy?

That is the point of the multi-day programme. In winter: husky safaris, reindeer sleighs, snowmobiles, ice fishing and northern lights tours. In summer: hiking, river rafting, berry picking and sauna. We keep these optional and point your guests to the right operators.

Our Honest Final Word

Plainly: Rovaniemi Weddings is our own company, and we would like to plan your wedding. But our advice stands even if you never hire anyone: with 50 or more guests, stop thinking about a single day. Give the weekend a welcome, a ceremony and a farewell, choose the month for the weather you want your guests in, and expect to use more than one venue. Keep the outdoor moments short and the warm spaces close.
