Wedding Décor Rental in Rovaniemi: Arches, Backdrops and Candles for Couples Who Plan Their Own Day

Not every couple wants a full planner. If you are organising your Lapland wedding yourselves, you can still borrow the pieces that make it look designed: arches, flower walls, candles, table runners and more. We run Rovaniemi Weddings, our own company, and our rental collection is the part of it we are asked about most by DIY couples.

Short answer

Yes, you can rent wedding décor in Rovaniemi without hiring a full planner. Rovaniemi Weddings, our own company, keeps a curated collection of arches, backdrops, napkins, table runners and candles, and can deliver, set up and remove them for you. Elopement styling starts at around €800, and a full styling package typically falls between €1,500 and €5,000 depending on scope. You can also combine rental with our on-the-day coordination. See Lapland Wedding Packages, our Weddings service and the Lapland Wedding Florist studio to decide which level of help suits you.

Who Rents Décor Instead of Booking a Full Planner

Three kinds of couple write to us about rental. The first has a venue, a caterer and a photographer already and just needs the visual layer: an arch for the ceremony, candles for the table, a sign at the door. The second is eloping, perhaps with only two witnesses, and wants a styled spot on a frozen lake or in a forest clearing without a full wedding budget. The third lives in Rovaniemi or elsewhere in Lapland and is organising a local wedding with family help.

All three are welcome. Our company was started by Alla after planning her own wedding in 2024, and she remembers exactly how hard it is to find good décor in the Arctic: most of what you see online ships from far away and looks thin in a Lapland winter. Our collection is built for Nordic conditions, which is why we are comfortable renting it, and why delivery, set-up and breakdown by our own team is part of how it works.

What Is in the Collection

The curated décor rental collection includes arches and backdrops, napkins, table runners and candles, and we can create custom pieces and one-off installations when the collection does not have what you imagine. Beyond rental we also design digital stationery (menus, invitations, seating charts, signage) so the printed pieces match.

  • Ceremony pieces: custom wooden and birch arches, round and two-piece arches, flower walls and columns.
  • Table pieces: linen runners, napkins, candle holders and pillar candles, centrepieces.
  • Welcome and signage: welcome signs, place cards, menus and seating charts.
  • Atmosphere: candle displays, fairy lights and lantern-lined paths.

Flowers are a separate decision. Fresh petals freeze and wilt almost instantly at −30 °C, which is why our studio makes bouquets and arch flowers from high-quality artificial and preserved flowers by hand in Rovaniemi. In winter we strongly recommend them; the Lapland Wedding Florist page explains what we make.

If something you picture is not in the collection, say so. We design one-off installations and custom pieces, and we can match a colour scheme to a bouquet, a dress or a venue. Many couples are surprised how much a few well-chosen pieces change a room: a single round arch, a row of candles and a welcome sign can turn a plain restaurant corner into a ceremony space in under an hour.

Rental Only, Styling, or Full Planning: Choosing Your Level

The honest question is how much of the day you want to carry yourselves. This table is how we describe the choices to couples on a first call.

Setting Up in the Cold: Why Delivery and Installation Matter

A wooden arch is easy to carry. Installing it in 40 cm of snow, anchored against wind, with candles that need to stay lit and a bouquet that must not get cold, is not. This is the main reason we rarely recommend pure self-collection for winter weddings. Our team delivers, sets up and removes everything, so you do not spend the morning of your wedding with a spirit level.

For summer and autumn weddings the logistics are easier and self-collection from Rovaniemi may be possible; we agree it case by case. Either way, tell us your venue early, because some venues have rules about open flames, wall fixings or what can be left outdoors overnight.

Seasonal Styling: What Works When

The collection is used differently across the year.

  • Winter (December to March): whites, silvers, deep greens and warm metallics; candles everywhere, faux fur on seats, frosted pine, white roses and ranunculus-style flowers. See our Winter Wedding in Lapland page.
  • Spring (late March to May): pastels, budding birch and light linens while snow still lingers.
  • Summer (June to August): lush greenery and wildflower-style flowers, round arches by a lake, with midnight sun light into the night.
  • Autumn (September to mid-October): burgundy, terracotta, amber, brass candlesticks and dried grasses.

The same arch looks completely different in each season, which is part of the pleasure of working with a collection rather than one-off purchases.

Pairing Rental With On-the-Day Coordination

Many couples who start with rental end up adding coordination, because the real stress of a wedding day is the timeline: who arrives when, who carries what, what happens if the photographer is late. On-the-day coordination covers the timeline, suppliers and logistics for couples who already have a plan, and it pairs very naturally with a rented décor set. Read more in the post on on-the-day wedding coordination in Lapland for couples who already have a plan.

Questions to Ask Before You Rent Anything Abroad

Whoever you rent from, ask the same questions: who delivers and installs, what happens in a snowstorm, how are pieces cleaned and returned, is there a deposit, and who is responsible for damage. Ask for photos of the exact pieces in the exact season you are marrying. We would rather you ask us than guess, and we answer every message within one business day.

What Moves a Styling Quote Up or Down

People ask us for a price list for rental, and the honest answer is that the number depends on five things. Number of pieces: one arch and a few candles is a very different job from an arch, a backdrop, table styling for 30 and a lounge corner. Distance: the further from Rovaniemi, the more we price delivery and crew time. Season: winter installation in snow takes longer than a summer lawn. Flowers: a hand-made bridal bouquet and arch florals are designed individually in our studio, so they are priced as design work, not as hire. Time on site: a set-up before a 2 pm ceremony and a breakdown after midnight needs a crew that is available for both.

The guide ranges from our cost guide remain the best starting point: elopement styling from around €800 and full styling €1,500–€5,000. For a whole wedding budget — venue €500–€1,500 for an intimate cabin or igloo day, €2,000–€8,000 for a hotel or resort space, catering roughly €50–€150 per person for a sit-down dinner — see the Lapland Wedding Cost page. We never add hidden fees to a quote.

Five Mistakes DIY Couples Make in Lapland

  1. Ordering décor from abroad with no plan for the cold. Plastic flowers go brittle, paper goes soft and adhesive stops working below zero.
  2. Forgetting the light. In winter you have a few daylight hours; set-up must be complete before the best light, not during it.
  3. Underestimating wind. Light arches and backdrops need anchoring on snow and on a lake shore.
  4. No indoor backup. Even a dry, calm forecast should have a warm alternative for the ceremony.
  5. Nobody owns the timeline. A friend as unofficial coordinator is lovely; a friend as the person who has to carry an arch through snow while also being a guest is not.

Avoiding these five is, frankly, what our company is for. It is also why we are happy to start small — a rented arch and an hour of advice — and let you decide what else you need. The post on what a Lapland wedding planner actually does explains when a planner pays for itself.

How to Get a Rental or Styling Quote From Us

  1. Tell us your date, venue and guest count through the Contact Rovaniemi Weddings page, and mention which pieces you like.
  2. Receive an estimate after a short call or message exchange.
  3. Agree and reserve your date with a simple agreement and deposit.
  4. We deliver and set up before your guests arrive, and remove everything afterwards.

Your date matters: for winter and summer peaks we recommend contacting us at least six to nine months ahead, though last-minute requests are sometimes possible depending on availability.

FAQ

Can I rent wedding décor in Rovaniemi without a planner?

Yes. Rovaniemi Weddings has a curated rental collection of arches, backdrops, napkins, table runners and candles, and delivery, set-up and removal are available.

How much does elopement styling cost?

Elopement styling starts at around €800; full styling packages typically fall between €1,500 and €5,000. A precise quote follows a consultation.

Can you deliver outside Rovaniemi?

We work across Lapland, Finland, Sweden and Norway, so yes; distance and logistics are included in your quote.

Are fresh flowers an option in winter?

Fresh petals freeze and wilt almost instantly at −30 °C, so we recommend high-quality artificial and preserved flowers, made by hand in our Rovaniemi studio.

How far ahead should I request rental?

At least six to nine months for winter aurora season or summer midnight sun, though last-minute is sometimes possible.

Can you also design our invitations and signage?

Yes. Digital design of menus, invitations, seating charts and signage is part of our services.

Our Honest Final Word

Rental is the right choice if you have the energy and the logistics under control, and the wrong one if you are hoping it removes all the stress — that is what planning and coordination are for. We would rather tell you which is which before you spend anything, even though both are our own company’s services.

If you want to see what a styled day can look like, start with Lapland Wedding Packages, browse the Lapland Wedding Florist studio, or send your date through our contact page. For the bigger picture, see our Weddings service.
