Proposing to a Long-Distance Partner: How to Plan a Surprise When You Meet in Rovaniemi
Many of the couples we plan for do not live in the same country, and the trip to Rovaniemi is the first time they have been together for weeks. This is our guide to who should arrive when, how to keep a proposal secret from someone who is flying in from somewhere else, and what we organise quietly in the background.

If you and your partner live in different cities or countries and meet in Rovaniemi, the proposal is easier than it sounds: have the partner who is proposing arrive first (or on the same day), let us prepare everything while the other is still in the air, and book the evening as something your partner expects anyway. Through our own company, Rovaniemi Weddings, we recommend The Fireside Proposal (from €1,400) for a reunion trip, because it is warm, private and available all year, with Yes Under the Aurora from late August to April for couples who already planned a northern lights evening. Plan the proposal for night two, never for the arrival evening, and tell us your flight times when you write to us through the Contact Rovaniemi Weddings page.

Why a Reunion Trip Is a Good Moment to Propose
When you do not live in the same place, time together has weight. Every visit is planned, every day is counted, and the trip to Rovaniemi is often the one you have talked about for months. That is exactly why it works for a proposal: your partner already expects something special, so a slightly mysterious evening does not raise suspicion.
It also helps that Rovaniemi is easy to reach from many places. The airport is about ten minutes from the town centre, there are flights from Helsinki all year, and in winter more European cities connect directly. The two of you can land on different flights, even from different countries, and still be together in a hotel in town within the hour. Almost everything we use for a proposal is within half an hour of your hotel, so you do not need a car.
Who Arrives When: Three Arrival Patterns That Work
The question we get most from long-distance couples is simply: who should be here first? There are three patterns that work well, and the right one depends on who is proposing and how much you need to prepare.
| Pattern | How it works | Best when |
|---|---|---|
| Proposer arrives a day early | You land, meet us or speak by phone, check the ring and the plan, then collect your partner from the airport | You want to see the place first and be calm on the day |
| Both arrive the same day | Separate flights, meet at the hotel; we prepare the evening of day two | You cannot take extra days off, and a simple plan is enough |
| Partner arrives later in the trip | Proposer is already in Rovaniemi, partner joins for the last nights | Your partner is travelling from far away or with a stopover |
In all three, we recommend that the proposal is not on the evening of the reunion. Tired after a long journey, with jet lag and a day of travel behind you, nobody is at their best. The second night, after a night of sleep and a gentle first day, is much kinder. It also leaves a spare evening in case the weather plan changes.
Keeping It Secret When the Planning Happens Remotely
Full disclosure first: Rovaniemi Weddings is our own company. Joona and Alla live in Rovaniemi and plan proposals here, so this is how we do it, not a neutral comparison. The most important rule is that we communicate only with you, on the channel you choose, and we never contact your partner, your friends or the venue unless you ask us to.

For long-distance couples, a few extra habits help:
- Use a channel your partner cannot see. If you share a computer, a family tablet or a messaging account, write to us from your own phone, or from a separate email address.
- Book what is true. “A private evening outdoors”, “a northern lights tour” or “dinner in the forest” are all honest descriptions. You only leave out one detail.
- Share the shape of the trip, not the details. Your partner knows you are meeting in Rovaniemi; they do not need to know the name of the evening.
- Keep the ring with you. It travels in hand luggage, in a case you can open with gloves on. Do not leave it in a hotel safe or in a bag your partner may reach into.
If your partner is the type who reads every message you send, tell us in your first email. We will agree on what to write, and when, so there is nothing to find.

The Fireside Proposal
From €1,400 · year-round. Everything you share stays between us — we never contact your partner.
Which Proposal Suits a Reunion Trip
For most reunion trips, we think about the mood you want and the month you travel:

The Fireside Proposal — from €1,400. Private land just outside Rovaniemi, a laavu with the fire already crackling, warm drinks and cookies, a bouquet of 30 roses, sparkling wine and a professional photographer who captures the moment and takes couple photos right after. In winter a reindeer can be fed. It is slow and warm, which suits a couple who have not seen each other in a while and want time to simply talk.
Yes Under the Aurora — from €1,500. A private northern lights tour for two, guided by a photographer who prepares flowers and candles while you watch the sky. Late August to April. The lights can never be promised, which is why we suggest night two and not the last night.
Dinner in the Glass Dome — from €1,450. A private three-course dinner in a glass dome at Invisible Forest Lodge, with the question asked when it feels right. Good if your partner loves a nice dinner more than being outside.
A Promise in the Ice Chapel — from €1,800. The candle-lit Ice Chapel at the Arctic SnowHotel & Glass Igloos, yours alone, mid-December to the end of March.
A Sample Itinerary for a Three-Night Reunion
Here is a simple shape we like, using the Fireside option as the example. You can swap in any of the others.
- Day 1 — arrive, rest, eat. Walk by the river, have dinner in town, sleep early. No plans, no pressure, and no jet lag speeches.
- Day 2 — the proposal. A relaxed day, then a late-afternoon or evening pick-up. We have already set up the laavu, the fire and the flowers while you are on your way. You ask, the photographer captures it, and a toast follows.
- Day 3 — the activity your partner came for. Huskies, reindeer, or Santa Claus Village on the Arctic Circle, about 8 km north of town.
- Day 4 — a slow morning, then home, or the spare night if the weather asked us to move things.
If your time together is short, a two-night trip also works. Write to us early so the date is held. If you are thinking of Christmas, New Year or Valentine’s Day, those dates are the ones people are booking right now, and they fill first. For ideas on timing, our guide to Lapland in December is a good place to start.
What to Wear When You Have Not Seen Each Other for a While
Dress for the setting first and the photo second. You will be standing still outdoors, whether by a fire in November or under the sky in March, so the usual Lapland rules apply: wool base layer, warm mid layer, insulated outer layer, hat, mittens and insulated boots. Temperatures can be anywhere from around freezing in autumn to −25 °C in deep winter. Our Lapland winter packing guide has the full list.

For the photos, one cream or brightly coloured piece, such as a scarf, hat or coat, stands out beautifully against snow or the night sky. If you travel separately, remember to check that your partner is bringing proper winter clothing as well, because they will need it even if they do not know why.
If you would rather keep things simple, Right Where You Are (from €650) lets us style a setting at the cabin or hotel you have already booked. It is the quietest way to do it, and a good fit if you want more time together and less ceremony.
How to Plan It With Us, Step by Step
The process is the same for every option:
- Tell us the story. Write to us through the Contact Rovaniemi Weddings page: how you met, how you ended up in different places, your arrival times, and how you want it to feel. We reply within one business day.
- Option and quote. We suggest the proposal that fits, send one clear quote with nothing hidden, and hold the date.
- Quiet preparation. Flowers, candles, the photographer, transport and the weather plan are confirmed on our side. You bring the ring.
- The moment. We set up while you are on your way, step out of sight, and pack down after you leave.
If the proposal is the first step in a longer plan, our Elopement in Lapland page explains how a wedding for two works here, and Getting Married in Finland covers the paperwork for foreign couples. Many couples who live apart ask about this next.
FAQ
Can we arrive on different days and still keep it a surprise?
Yes. Many of our couples do exactly that. We only need your arrival times and the evening you would like. Everything is prepared before your partner lands, and we never contact them. We suggest the proposal is on the second night, not the arrival evening.
How much does it cost?
Our ten signature Proposals in Lapland start from €650 (Right Where You Are) and go to €2,700 (The Grand Romance). The Fireside Proposal starts from €1,400 and Yes Under the Aurora from €1,500. Prices include planning, coordination, set-up, removal and, in nearly every case, a professional photographer. Add-ons such as a videographer are quoted separately.
What if the flight is delayed or cancelled?
Tell us as soon as you know and we adjust the time, or move to another evening if the date allows. This is the main reason we do not recommend proposing on the very first evening, or on the last one.
What if our partner finds the emails?
Write to us from a device and address only you can use. If you are worried, tell us in your first message and we will agree on a quiet way to communicate. We communicate only with you and never contact your partner.
Can we do this at Christmas or New Year?
Yes, but these are the busiest dates of the year, so write early. The Ice Chapel opens from mid-December, and the frozen lake is possible from December to March. The Fireside Proposal works all year.
Do we need to book a photographer separately?
No. In nearly every signature proposal, a professional photographer is included and captures the moment, followed by couple photos right after. For Right Where You Are and A Thousand Petals a photographer is an add-on.
Our Honest Final Word
Rovaniemi Weddings is our company, so of course we would like you to book with us. But we also live here, and we have seen enough reunions on the Arctic Circle to know what matters. Not the budget. It is arriving in a way that leaves you calm, choosing the second night, and handing the set-up to someone else, so the only thing left for you to do is ask.
If you are coming for a reunion and want warmth and privacy, look at The Fireside Proposal. If a northern lights evening is already on the list, choose Yes Under the Aurora. Or see all ten proposals and tell us your story. We reply within one business day, and we never contact your partner.
